DescriptionGeneral Purpose

As a Resource Manager at adidas you are responsible for coordinating all internal and freelance resources. As part of the operations team, you are required to recruit all freelancers, Contractors and Externals for Studio A. You will need to allocate potential incoming/working talent for current and forecasted needs of the department. Driving best practice by building and implementing ways of working as well as contributing to a culture of value, quality and diversity are just a few of the key activities that will be expected from this role. Additionally, through onboarding and offboarding of both permanent and freelance stakeholders, you will need to ensure all systems used are kept up to date with the correct number of users.

Key Responsibilities 

Scope: Accountable for all recruitment needs of current and future project demands in Studio A
- Operations Manager
- Responsible for the full onboarding process for all freelancers and temporary workers for Studio A
- Support the day-to-day functions of freelancers and temporary workers on any ad-hoc requests / changes on ongoing Global Studio A requirements, timesheets, billing and invoicing
- Maintain Forecast / Workfront (scheduling tool), Harvest and other systems used for all team members
- Weekly and Monthly alignment with internal stakeholders and hiring managers on capacity and planning
Recruitment
- Create job postings for new External/Freelance hires
- Source, liaise and arrange External/ Freelance candidate interviews for hiring managers for Studio A Amsterdam and Germany
- Manage recruitment process though external recruiters and Fieldglass
- Oversee setup process for freelancers through internal recruitment system for external workforce (Fieldglass)
- Own the internal process of welcoming new joiners to our department and ensuring they are comfortable and well equipped for success in their new team.
- Responsible for the onboarding and offboarding process for all joiners in Studio A (This includes adding and removing candidates' subscriptions from systems and tools)
- Work with Human Resources to ensure you are aware of any permanent joiners/leavers
- Own the process of timesheet management for all staff within Studio A

Scope: Accountable for all resource related operations and processes
- Operations
- Responsible for the onboarding and setup process for all new joiners together with the Operations Manager
- Together with the Resource manager, you are both responsible for ensuring that all our system users are always up-to-date, and no inactive user accounts are active
- Collaborate with Studio A’s finance team on financial reporting on operations related costs
- Monthly and Quarterly reporting
- Ensure all Systems are up to date with the exact number of users at any given point
- Ongoing adjustments to the T& E policy with support from procurement
- Distribution and Mailbox list management
- Researching the latest and best tools that are best for Studio A to ensure we are always ahead on the game
- Process optimization and best practices
- Contribute and drive standard best practices and control methods
- Drive best practice communication and trainings throughout the organization regarding your area of responsibility
- Monitor and analyze respective processes continuously.
- Identify improvement opportunities and define respective solutions.
- Conduct process reviews involving all relevant stakeholders to collect appropriate feedback and define/enrich a backlog of improvements.
- Define change requests for new functionalities in sufficient detail for qualification and solution selection

Requirements
- Experience
- 2+ years of experience in a Digital Marketing environment
- Min. 5 years experience in operations in a digital marketing / communications related industry
- Experience in resource management for the creative / advertising / marketing industry
- Experience in managing highly complex processes, involving multiple teams in different geographies
- Experience managing a small team
- Experience in a corporate environment and / or a creative agency is a plus
- Soft-Skills
- Ability to quickly adapt to changing business processes and business priorities
- Very good communication & negotiation skills
- Comfortable presenting complex topics to stakeholders at various organizational levels both in person and remotely
- Experience in working with multicultural organizations
- Hard-Skills
- Comfortable working with enterprise-level platforms and technologies
- Excellent Excel skills
- Knowledge of resource management tools
- Fluent English both verbally and written
